Challenge

QUT was seeking a student management system which would support curriculum delivery and promote a clear approach to convey course and unit offerings to students and staff. The university was also looking to reduce its number of standalone systems, to establish authoritative data sources.

Overall, QUT was driven by a desire to enhance the student experience, through an expansion in real time processing and student self-management.

Solution

QUT chose to implement TechnologyOne's Student Management solution, and has 16 modules in production, including; Course Structure & Planning, Admissions & Enrolments, Student Administration, Student Fee Administration, Examinations, Progressions, Graduations & Completions, Access and Security, Government and Management Reporting, Data Imports, Class Timetabling, eStudent, Web Services, Higher Research Degree, Scholarships Prizes and Rewards and Application Events.

Outcome

By implementing TechnologyOne Student Management in parallel with other infrastructure, QUT has realised its objective of improving the student experience.

"Seamless integration is important for us because services are delivered to students across many underpinning systems. Integration is as critical as the core systems in delivering services," Bruce McCallum, Director of Student Business Services says.

The university has transformed the way in which it interacts with students, by extending QUT's virtual capabilities for students, academics and administrators through the creation of the online study plan concept. Students have benefited from a superior level of self-service, transparency and real-time visibility of courses and student information.

TechnologyOne and QUT continue to benefit from a strong collaborative relationship, as both companies work to improve and evolve the technology and its functionality.

Signing up for a new system was as much about the partnership and longer-term relationship as it was with the immediate functionality.

QUT is one of Australia's leading universities, with more than 45,000 students and 4,000 staff across its three campuses in Brisbane, Queensland. QUT went to tender in pursuit of a student management system which would assist to transform the student experience, support curriculum delivery and promote a clear approach to convey course and unit offerings to students and staff.

The university selected TechnologyOne Student Management, as it best aligned with the university's strategic and operational objectives.

"QUT conducted a comprehensive review against a large number of criteria, as appropriate for this significant investment. TechnologyOne was the best and most appropriate fit for our needs at the time," says QUT Director of Student Business Services, Bruce McCallum.

"Staff were very positive in their evaluations of product functionality and welcomed the improvement in user interfaces."

As its business needs evolve, the university will use its strong collaborative relationship with TechnologyOne to continue to leverage the investment in TechnologyOne Student Management.

"Our intention is to be collaborative and work in partnership. This is the QUT approach with any of our vendors," Mr McCallum says.

"We are in a complex business, and so for us, signing up for a new system was as much about the partnership and longer term relationship, as it was with the immediate functionality."

Spotlight

Mr McCallum said TechnologyOne Student Management has helped the university to achieve its primary objectives of real-time processing, improved transparency for students and staff, and automation in the graduation process, through the creation of its online study plan concept.

"The study plan concept allows students to auto-complete courses; so there's no manual checking required, and students can move straight from their final results into the graduation process," says Mr McCallum.

"It means there's one authoritative source for the studies a student needs to finish to complete their course."

TechnologyOne Student Management is the core of the solution supporting students, academics, administrators and partners in their teaching and learning endeavours.

The university recently released a review of its student management systems and processes titled Realising Potential. The review identified thirty-seven opportunities to realise potential from its student management systems to further improve the student experience and achieve processing efficiencies.
